Browsing and contacting us
This website provides company information and a private participant-network pilot. Participants can register with an email address and password or sign in with ChatGPT, create a trading profile, save requirements and submit proposals. Participants can now submit private onboarding documents and connector work evidence for review. The pilot does not receive funds or execute payments. The contact form sends your enquiry to a private inbox for authorised Stock Africa staff. Where an email link is offered, it opens your email application; sending an email is a separate action that you control.
The contact form stores your name, email address, optional organisation, selected topic, message, submission time and, when signed in, your account identifier. Authorised Stock Africa staff can review enquiries, record their handling status and reply by email. Status changes record the staff account and time. Basic spam and submission limits use the supplied email address and signed-in account when available. If you contact Stock Africa, these details may be used to assess and respond to your enquiry. Keep your first message limited to the business requirement. Please do not send passport copies, identity numbers, banking records or patient information through a general enquiry.
Participant profiles and trade records
The pilot uses the authenticated identifier and email supplied through ChatGPT sign-in. A stable identifier links your records to your account. Your trading name, operating location, chosen roles and sectors, capability description, requirements, proposals, selections and activity records are stored in the site’s database so they remain available across sessions.
A private draft is visible only to its account owner. When the owner chooses to share a requirement, its specification, quantity, destination area, timing and quality requirements become visible to signed-in participants in the relevant sector. Each commercial proposal and the provider’s trading name and operating location are visible to its author and the buyer. Other providers can see aggregate planned supply and which types of contribution have been selected, but cannot see competing commercial proposals. Existing contributors retain access to the brief and their own proposals when a requirement is paused or closed.
Do not put sensitive locations, identity numbers, bank records or patient information into profiles, requirements or proposals. Profile information is self-declared. Registration does not mean the profile or its qualifications have been verified.
Purpose and lawful basis
Business enquiries and participant information are used to understand requirements, operate the requested trade-planning features and consider prospective commercial relationships. The intended lawful basis is Stock Africa’s legitimate interest in managing business enquiries, subject to individuals’ rights and reasonable privacy expectations. Using the pilot or sending an enquiry does not provide consent to unrelated marketing.
Retention
Profiles, application revisions, evidence and trade records remain stored until an authorised deletion request is actioned or a retention decision is made. Closing a requirement or withdrawing a proposal changes its status and does not delete it. Retention depends on whether a record remains active, develops into a transaction, or must be retained for a specific legal obligation or dispute. Different records may therefore have different retention periods. You can ask Stock Africa about the retention criteria applying to your information.
Onboarding and connector evidence
Onboarding applications record identity, authority, ownership and control, operating countries, funding relationships, conflicts and evidence relevant to the selected role and sector. Applicants may upload necessary PDF, JPEG or PNG evidence to private storage. These declarations and documents are available to the applicant and authorised Stock Africa reviewers. They are not shared with other suppliers or buyers. Reviewers record document checks, reasons, scope, expiry and an activity history. Internal review notes and detailed screening records are restricted to independent authorised reviewers, including when an applicant also holds a reviewer role. The system records which reviewer retrieved an evidence version and the resulting review decision.
Connector introductions, commercial schedules, consented work evidence and settlement references are visible to the connector, the buyer involved and authorised reviewers. Do not upload patient records, unrelated identity records, bank account numbers or photographs taken without permission to an assignment. Private KYC evidence should remain in the onboarding application. Settlement references identify independently checked external records; they do not initiate payments.
Relevant information is used to assess identity, authority, activity, suitability and prospective contractual relationships, manage conflicts and establish agreed commission attribution. Any applicable legal obligation is assessed for the actual activity and jurisdiction; registration does not make every participant subject to the same regulatory rules. Do not submit unnecessary personal information. You may ask Stock Africa about an alternative verification method or a decision affecting your application.
Lentle and AI reading
When AI reading is available, attaching a document in Lentle or the requirement form starts a private OpenAI reading automatically, as stated beside the attachment control. Sending a message asks Lentle to help with it. The service infers whether you need a procurement draft, KYC reading notes or a general document summary. Selected documents, your message and relevant declared application details are sent to the OpenAI API. Up to three recent authorised conversation excerpts may be included to understand follow-up questions. Quick commands and standard guidance can work without AI. Only the selected files are included; Lentle does not send your whole KYC record or order history. Use only documents you are authorised to share, omit unnecessary identity numbers, and do not include patient records.
Messages, original uploads and resulting notes are saved privately to your account on Stock Africa. Findings derived from an application remain subject to current application access permissions. Application changes are flagged against earlier notes. AI document reading does not count as a reviewer inspecting the document and cannot approve KYC, clear AML checks, move money or publish a requirement.
AI requests disable stored response state using store:false. This does not mean zero retention: OpenAI may retain abuse-monitoring records for up to 30 days, with exceptions described in its API data controls. API data is not used to train OpenAI models by default. Our service sends file contents directly for each reading without creating persistent OpenAI file-library objects. Processing can occur internationally. Stock Africa retains the private source and analysis records under the retention criteria below and can handle access or deletion requests through the contact form.
Screening and human decisions
Independent reviewers may record sanctions and politically exposed person (PEP) searches, beneficial ownership, business purpose, funding relationships and relevant adverse information. Records may include the names, roles, countries, verified birth dates where available, source references, potential matches and reasoned dispositions of the applicant and relevant owners, controllers, directors or representatives. A potential name match or PEP status does not by itself establish wrongdoing. Reviewers assess identifying evidence and explain decisions; incomplete or unresolved checks prevent clearance.
The pilot currently supports documented manual screening. An optional integration with the commercial OFAC-API.com screening service is present but is not enabled. If Stock Africa enables it after arranging appropriate service and data-processing terms, an authorised reviewer can explicitly request a search using relevant names, subject types, countries and available birth dates. Identity document files and private evidence notes are not sent by that integration. The service returns sanctions and PEP results for human review; separate adverse-information research remains manual. Stock Africa must communicate material changes to these processing arrangements before using them.
Order agreements, goods and payment records
The order workspace stores the agreed specification, quantities, delivery responsibilities, inspection requirements and payment stages. Typed acceptance records the authenticated account, full name, authority, date and time, and exact agreement version and fingerprint. Company agreements, shipment certificates, loading and receiving evidence, batches and expiry dates are held in private storage. The buyer, supplier and independent authorised reviewers can access the commercial order; an assigned driver receives only the shipment information and evidence needed for their delivery. Drivers cannot access the agreement, prices, payment evidence or KYC records.
Order activity, inspection decisions, reported and confirmed external payments, discrepancies and dispute decisions are retained with the transaction. Upload and retrieval times are recorded; a file fingerprint identifies the retained bytes, not the authenticity of the contents. In-app updates are refreshed while the order page is visible. The pilot does not initiate bank transfers or provide escrow.
Voice typing
Dictation starts only when you press the microphone control and grant any browser permission requested. Your browser or operating system may send audio to its speech-recognition provider; availability and processing depend on your browser and settings. Stock Africa does not upload or save the audio. Recognised words appear in your draft for you to check and edit. Voice typing never sends a message automatically. It stops when you choose Stop, leave or hide the page, close Lentle, or reach the one-minute session limit. Sending the resulting text follows the message and AI-reading arrangements above.
Driver-shared location
A driver may choose “Share my location” for an assigned shipment and grant browser location permission. While the shipment page is visible, the app sends the device location and reported accuracy at most every 30 seconds. The current position and time are visible only to that driver, the order’s buyer and supplier, and independent authorised reviewers. There are no connections to transporters’ tracking services and no background tracking.
The system retains the latest shared position, rather than a route history. Sharing stops on request, when the page is hidden or left, on reassignment or on arrival; page-close removal depends on connectivity. The sharing session expires after four hours, at which point its location is hidden. Explicit stops and arrival remove the position; expired stored positions are cleared during later location updates. If removal cannot be confirmed, the app explains that the last position may remain visible until permission expires. Location is a driver report and does not prove delivery or confirm receipt.
Account sign-in and temporary drafts
Website accounts store your name, email address and a password hash, along with sign-in sessions and technical records used to protect account access. Session cookies keep you signed in. Email/password registration does not by itself verify email ownership. Stock Africa reviews platform access separately. Email verification and automated password-recovery emails are not currently active; use the account contact form for assistance. If Google sign-in is enabled, it shares basic account identity with Stock Africa and does not grant access to Gmail messages.
When you continue from a guest product selection or typed brief to account registration, that input is kept in this browser tab for up to 24 hours. It is not a saved server request. Uploaded documents are not retained in browser storage. Confirmed request saving clears the corresponding temporary input.
Website technology
The site does not add advertising pixels or analytics scripts. Images and fonts are served with the site. Hosting and access providers may process technical connection and access information under their own service arrangements.
Recipients and international processing
Enquiries may be handled by authorised Stock Africa personnel and the company’s email service provider. This website uses OpenAI Sites and Cloudflare hosting, whose services process site-access information and host the participant database and private evidence storage. Hosting or email processing may involve countries outside Botswana. Onboarding reviewers and the parties to a connector assignment receive only the records described above. Any additional transaction-specific disclosure requires the appropriate purpose and arrangements.
Your questions and requests
You may contact Stock Africa to ask how your enquiry information is used, request access, correction or deletion, object to processing, or raise a privacy concern, subject to applicable legal conditions. Identity may need to be verified before a request is actioned, and legal record-keeping obligations may limit deletion.
You may also complain directly to Botswana’s Information and Data Protection Commission. The Commission’s contact details are published in NBFIRA’s privacy notice.
